To enable Harper to send and receive emails, Wisq integrates directly with Microsoft Outlook. This allows Harper to communicate as a member of your HR team - responding to employees from a recognized, trusted email address at your organization.
Setting up the integration involves two main parts: creating a dedicated email address for Harper, and connecting that mailbox to Wisq. The connection requires a one-time action from a Microsoft 365 Global Administrator.
If you have any questions about these steps, please contact your Wisq Customer Success Manager for assistance.
What Harper's Email Address Is Used For
Once configured, Harper's email address serves two purposes:
Outbound communications from Harper. When Harper needs to hand off a conversation or send a workflow notification, those emails will come from Harper's address. This ensures employees know the message is from Harper, not a generic inbox, and helps ensure deliverability within your organization.
Inbound emails to Harper. Employees can email Harper directly, and it works just like messaging her in the Wisq platform or through Slack/Teams. If an employee emails Harper, that conversation will appear in Wisq when they log in.
Shared Inboxes
In addition to Harper's dedicated mailbox, Wisq can also be configured to allow Harper to participate in shared inboxes at your organization - for example, hr@yourcompany.com. This means Harper can monitor and respond to messages sent to shared HR inboxes, giving employees a seamless experience regardless of how they reach out.
Shared inbox configuration is typically set up as a separate step after Harper's dedicated mailbox is live. We recommend starting with Harper's individual mailbox first, then expanding to shared inboxes once you've had a chance to review how Harper handles your scenarios. Your Wisq Customer Success Manager will guide you through this when the time comes.
How Wisq Accesses Mailboxes (and What We Don't)
Wisq connects to mailboxes using Application Access via Microsoft Graph. This approach was chosen specifically to minimize friction for your IT team:
- No individual users need to log in or re-authenticate every 90 days
- No popup logins, tokens to manage, or session expirations
- Access is limited to only the mailboxes you explicitly configure in the Wisq platform
Wisq does not access all mailboxes in your organization. Even though application permissions allow broad access by default, our service only reads from and writes to the specific email addresses you add in the Wisq platform. If you'd like to enforce this restriction at the tenant level, you can apply a Microsoft Application Access Policy (instructions are in Step 4 below).
Setup Steps
1. Create Harper's Email Address
Following your organization's standard procedures, create a new email account for Harper. We recommend using an address like harper@yourcompany.com or harperai@yourcompany.com (please make sure your HR team has communicated and shared the address they would like you to create).
2. Grant Admin Consent (One-Time Setup by Global Admin)
A Microsoft 365 Global Administrator must grant consent for our application to access Microsoft Graph on behalf of your organization. That Global Administrator must also be a Wisq Space Administrator and logged in.
- Login to Wisq App.
- Click on the link: https://login.microsoftonline.com/common/adminconsent?client_id=71185fc2-6a11-4ece-bf15-67bb7f929c71&redirect_uri=https://api.wisq.com/api/externalChannels/outlook/authorize
3. Configure Harper's Mailbox in Wisq
After admin consent is complete:
- Go to the Admin Console. Click on the Configure tab.
- Go to Emails (under Tools).
- Click Add email. Initially, we will only add Harper's dedicated email address here. If the Shared Inbox functionality is used, we will configure that at a later time.
- Complete the following fields:
- Provider: Select your company’s email provider from the dropdown. This will be Outlook.
- Inbox Type: Select Individual for Harper's dedicated mailbox
- Email Address: Enter Harper's email address
- Response Template: Harper's formatted email signature - your Wisq Customer Success Manager can help with formatting
- Enable Email: Toggle on to enable.
- Please be sure to Save
Once enabled and saved, Wisq/Harper will automatically:
- Set up Graph API subscriptions for new message notifications
- Fetch message content and metadata securely
- Respond to messages or threads
4. (Optional) Restrict Access to Only Specified Mailboxes
Although our app only uses the mailboxes you configure in the Wisq platform, you can enforce this at the tenant level by applying an Application Access Policy. Learn more about Role Based Access Control and configuration instructions here: https://learn.microsoft.com/en-us/exchange/permissions-exo/application-rbac
This is optional, as Wisq already limits its access to configured mailboxes, but it is available if your security requirements call for it.
